Job Summary:
We're seeking a talented and experienced professional to join our client’s team as Payroll and Business Operations
Specialist. The successful candidate will be responsible for processing Payroll, Accounting, HR, and other operational
duties. The candidate must have strong attention to detail, analytical skills, and knowledge of federal and state labor
laws. The below job description summarizes the main duties of the job. It neither prescribes nor restricts the exact
tasks that may be assigned.
KEY RESPONSIBILITIES
Accounting and Payroll duties:
• Process payroll for a portfolio of clients keeping into account the necessary deductions and Taxes.
• Provide excellent customer service to clients and respond to payroll-related inquiries.
• Perform internal audits, support external auditors as well as participate in investigations, M&E, IRS Audit, quality assurance, and process improvement activities.
• Prepare and reconcile all payroll-related accounting entries.
• Data entry, Accounting, and Bookkeeping
• Prepare management accounts, Budgets, and financial forecasts.
• Review and update accounting processes and procedures as needed ensuring compliance with the same.
• Maintain confidentiality and safekeeping of important financial, marketing, HR, and other company documents
HR & Marketing duties:
• Create and oversee marketing campaigns including emails, social media posts, posting jobs, etc.
• Review and analyze business performance trends, promoting areas of responsibility via marketing media, and reporting results.
• Network and actively promote our brand through the creation and utilization of SAFARI branding materials.
• Work collaboratively with the Safari Healthcare team and communication department to maintain consistency of branding, and communication.
• Support recruitment process: - preparing paperwork, background checks, drug screening, and creating/uploading employee files.
• Support employees' onboarding process: Organize and lead inductions and training, filling and submission all onboarding documentation, order materials, and name badges, create compliant local personnel files, and ensure that the new employees receive appropriate orientation materials such as the employee handbook and benefit enrollment materials.
• Research, implement, and maintain a leading edge and creative sourcing tools and resources that improve candidate relationship development as well as be on top of SEO trends.
• Be motivated to continuously learn, train and motivate others. • Prescreen candidates for internal positions (management, HR, sales, operations, and accounting)
• Organize and coordinate phone interviews, and create and update training documents as needed.
• Facilitate training for Clients' employees and provide quality and timely training feedback.
Operations and Compliance duties:
• Act as the liaison between the recruiting and Proweaver teams to attract prospective employees/clients.
• Provide data-driven insights and contributions to the development of campaign strategy, creative assets, budget management, and overall project management.
• Think creatively about how to maximize the number of quality leads and traffic coming from digital channels.
• Participate in establishing an “employer of choice” reputation for the company, both internally and externally.
• Ensure compliance with applicable legal requirements, standards, policies, and procedures including but not limited to those within the Compliance and Ethics Program, Standard/Code of Conduct, Federal False Claims Act, HIPAA, and Safety responsibilities, policies, and procedures.
• Promptly reports concerns and suspected incidences of non-compliance to the liaison or compliance officer.
• Maintain complete paperwork and documentation according to company, state, and federal laws.
MINIMUM JOB REQUIREMENTS:
• Bachelor's degree in HR, Accounting, or a related business field and a minimum of CPA section 4
• Must be proficient in Microsoft Office applications and QuickBooks.
• At least 3 years of experience in a payroll processing role
• Familiarity with federal and state labor laws.
• Excellent analytical skills with the ability to detect and report inconsistencies.
• Ability to multitask, manage time well, and ensure accuracy and completeness with great attention to detail.
• Must be proactive with strong organizational and problem-solving skills, works efficiently, and meet deadlines.
• Should have an understanding of the USA healthcare industry, technology trends, compensation, and other employment benefits within the industry. Active affiliation with healthcare organizations is preferred.
• Effective communicator, with strong oral and written skills, particularly in English.
• Have experience with sourcing tools and methodologies such as Applicant Tracking System, LinkedIn, Resume
Databases (Indeed, Job Boards), social media, and Branding.
Required Competencies:
• Must be able to work independently (with little supervision) and in a team setting.
• Must be able to perform duties even under pressure and remain flexible with assignments.
• Must be able to accept constructive criticism and be willing to change as advised.
• Must possess a positive attitude and contribute to Safari Healthcare and be self and company motivated.
• Be able to continually observe information on paper and electronic at a close range/distance for long hours.
• Ability to work collaboratively, manage, train, and oversee other employees and enforce adherence to company policies.
• Be willing to work in shifts: -nights, weekends, and holidays,
• Be willing to Perform other duties as assigned
